Poster Competition - information for poster presenters

On the day of the colloquium all of the students those who entered the poster competition and had their abstracts accepted will be presenting their posters. Below you'll find information about the competition, but if you have any questions, and they're not covered on the FAQs page, just drop us an email.

Competition

There will be three categories for the competition this year. The first two are:

  • Original Project: a prize will be awarded for the best poster demonstrating a student project
  • General Interest: a prize will be awarded to other posters that are not based on a student project but other subjects, such as a hobby or coursework.

These two categories will be evaluated by a panel of judges on the day. The final category, Peoples Choice, will be based on the most popular poster of the day, across both categories, and will be voted on by all colloquium delegates. You'll find voting forms for this category in your goodie bags on the day.

The prizes for the bext posters in these three categories will be presented at the end of the day.

Information for Poster Presenters

Registration will open at 10:00 on the day, and the talks will start at 10:30. We therefore recommend you arrive in good time to be able to attach your posters to the supplied stands.
You will be allocated a specific place for your poster and there will be assistants around to help you find the board with your name and attach your poster to the board. The judging will take place over the lunch period, but as the posters will be in the same room as the refreshments people will have plenty of opportunity to see your hard work.

What should a poster look like?
Well, that is completely up to you …

You may want to produce a single A1 poster and get it printed professionally.
You may want to produce something smaller or larger.
You may want to print it onto multiple A4 pages and stick them together.
You may want to include colour and lots of images
You may prefer greyscale and lots of text.

You can choose the format of your poster. So be creative!

Confirming your attendance
To make sure we order enough food (and have the right number of goodie bags) please confirm your attendance at the colloquium by booking your place online at www.bcs.org/events/registration/

Unable to come along on the day?
If you can’t make it to the colloquium on the 8th April, either before or after booking your place online, please let us know as soon as possible.

Bringing other along?
If you’re coming to the colloquium why not bring along your friends, classmates, workmates or family? The event is free to attend – anyone who fancies coming just needs to register online

Google Travel Scholarship

This year Google are donating funds for a travel scholarship, in order to provide support for all poster presenters. Details of how to claim back your travel expenses will be sent to you separately, but in the meantime there are a few things you need to know ...

Getting to Cardiff

Cardiff is relatively easy to get to via public transport, and the location of the colloquium is very close to town (see the location page on the web site for a map).

If you’re not sure how to get here try www.traveline.org.uk
To find the cheapest trains we recommend you visit www.thetrainline.com

The earlier you book your transport the cheaper it usually is.

Sometimes travelling in the early morning can be very expensive, and it can be cheaper to travel the night before and stay at a local B&B, so it’s worth checking this.

You are also welcome to travel by car. If a few of you are travelling together sometimes driving (and maybe hiring a car) can be cheaper! For claiming mileage to and from the BCSWomen Lovelace Colloquium we will be following HMRC approved mileage rates:

Car 40 pence per mile (see notes below)
Motorbike 24 pence per mile (see notes below)
  Bicycle 20 pence per mile
Notes:

  • Mileage will be calculated based on the above rate for the first 100 miles of a round trip journey. Any mileage above the first 100 of a round trip journey will be covered at 13p per mile.
  • Passengers can be claimed for at an additional 5p per mile

Further details of how to claim will be emailed to poster presenters separately, but if you have any questions email us at bcswomen@cs.cardiff.ac.uk

Details of car parking will be published soon.

Accommodation in Cardiff

If you are unable to get to Cardiff for the 10:30am start, or are not able to find reasonably priced transport for that time of day, then we may be able to provide some additional support for accommodation for the night before. Funding permitting we’ll be able to cover the cost in full, but in order to guarantee we can assist you need to let us know beforehand how much your accommodation and travel will cost (even if only approximately) so we can confirm this with you in advance.

The tourist information web site for Cardiff (www.visitcardiff.com/) provides some information on accommodation but for a better coverage of places to stay we recommend you try the following:

www.travellerspoint.com/budget-accommodation-en-ci-236.html
www.lastminute.com/
www.laterooms.com/

What to do first ...

To find out how much financial support we can provide, and to make sure we can cover your individual travel costs, discuss in advance your travel and/or accommodaton estimates by emailing bcswomen@cs.cardiff.ac.uk

When arranging travel and/or looking for accommodation PLEASE REMEMBER – try and keep it as cheap as you can so we can fully fund as many people as possible. It would be great if we could cover everyone’s expenses.
